Position Overview

Netarx is seeking a highly organized and proactive Office Manager / Executive Assistant to oversee the daily operations of our office and provide high-level administrative support to the company Owner. This hybrid role requires a versatile individual who can juggle multiple tasks, from managing office supplies and vendor relationships to assisting with light HR functions and bookkeeping.

Key Responsibilities

  • Serve as the first point of contact for incoming calls, emails, and visitors, ensuring a professional and friendly experience
  • Manage office operations including ordering supplies, coordinating maintenance, and liaising with vendors
  • Provide direct executive assistant support to the Owner, including calendar management, travel planning, meeting coordination, and confidential communications
  • Perform light bookkeeping duties, such as invoice tracking, expense reporting, and assisting with monthly financial reviews
  • Assist with basic HR tasks including onboarding paperwork, employee record management, payroll, benefits, and maintaining HR files
  • Maintain organized digital and physical filing systems
  • Support the planning of office events, meetings, and employee engagement activities
  • Handle ad-hoc administrative duties and support special projects as needed

Required Qualifications

  • 3+ years of experience as an Office Manager, Executive Assistant, or similar administrative role
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software tools
  • Ability to maintain confidentiality and demonstrate a high degree of professionalism
  • Strong attention to detail and problem-solving skills
  • Reliable, self-motivated, and capable of working both independently and as part of a team

Preferred Qualifications

  • Experience with light bookkeeping tools such as QuickBooks, Excel, or expense tracking systems
  • Familiarity with HR processes such as onboarding or employee file management
  • Prior experience supporting C-level executives is a plus
  • No certifications are required for this role
